Tips for a Successful SOVO Fair 2026

  • Come Prepared

    Bring all supplies you may need, including:

    • Tablecloth
    • Signage and banners
    • Flyers or handouts - print the week of in The Underground
    • Sign-up sheets or QR codes
    • Pens, markers, tape, and clips
    • Chargers or battery packs for electronic devices
    • Paperweights! Avoid flyers blowing away
  • Know Your Message and Promote Before the Fair

    Be prepared to answer:

    • What does your organization do?
    • Who can join?
    • How often do you meet?
    • What benefits do members receive?
    • Develop a short 30-second explanation - or elevator pitch -of your organization
    • Create and Bring a reference or FAQ document for your members that are staffing your table

    Promote Before the Fair:

    • Share your participation on social media and RamsConnect
    • Encourage members to stop by and engage with prospective students, BUT avoid crowding the space available to you
  • Make Your Table Visually Appealing

    Setting Up

    • Use large, easy-to-read signage
    • Include photos of activities and events - show what you do!
    • Use your branding - logo, colors, traditions
    • Avoid clutter so students can quickly understand who you are

    Use Interactive Elements - Consider:

    • Small games or trivia
    • Simply giveaways
    • Photo props
    • Demonstrations related to you org and within the space available to you
  • Engaged and Start Conversations

    Start conversations

    Instead of asking "Do you want a flyer?"  Try:

    • "What are you interested in getting involved in?"
    • "Have you heard about our organization before?"
    • "Are you looking for leadership opportunities? Service? Meeting people?"
    • Or use something specific to your organization - be dynamic!

    Focus On Connections:

    • Learn about their interests
    • Be welcoming of all students regardless of background or experience levels
    • Explain how your org can help them find community or develop skills
  • Sign Ups and Follow Up

    Make Signing Up Easy

    • Use a QR code that links them to an interest form  - use the tools on RamsConnect
    • Have a paper back up in case technology fails
    • Test your links

    Follow Up Quickly:

    • Send a welcome message within a few days
    • Invite them to your next meeting or event
    • Share ways to get involved immediately
    • Share additional contact information or social media handles

Prepare for Weather

Bring water and sunscreen, Secure lightweight materials with clips or weights, protect flyers and electronics from wind or unexpected rain

Stay Safe and Comfortable

Dress for the weather and keep hydrated. Make sure you take breaks and rotate shifts through the event

Avoid Common Mistakes

  • Sitting quietly behind the table
  • Using signage that's hard to read
  • Overwhelming students with too much information
  • Forgetting to collect contact information
  • Leaving the table unattended
  • Melting candy!
