Risk Management + Reporting

Student organizations play an important role in creating meaningful experiences for the VCU community, and thoughtful planning helps ensure those experiences are safe, responsible, and successful. Risk management simply means taking time to consider potential challenges in advance and making informed decisions that protect participants, your organization, and the university.

Take advantage of information and resources that promote your wellness, safety and success as a student organization leader. Please check out the student organization conduct report, access hazing prevention training, and be vocal to report any concerning behavior through the Student Code of Conduct or Hazing reporting forms.

Below, you will find information on required reporting and notification forms that organizations may need to complete depending on the nature of their activities, along with brief descriptions to help you determine which form is appropriate. Please reach out to studentorgs@vcu.edu with any questions regarding submitting forms and managing risk.

  • Travel Notification Form

    Student organization leaders should use this form to notify the student organization office, the Underground, about group travel for registered student organizations. The Underground does not approve or deny organization travel through this form, but we encourage all student organizations to share their travel details with our office.

    Submitting the travel notification form is required for any student organization receiving university funding (partial or full funding) for organization travel. Registered Student Organizations receiving any university funding for travel must complete this form 30 days prior to travel to ensure compliance with state and federal guidelines.

  • Notification of Event with Alcohol Form

    All student organizations must complete this Notification of an Event with Alcohol Form in RamsConnect at least fourteen (14) days in advance of any Alcohol Event.

  • Hazing Reporting Form

    We encourage all students who suspect or have experienced hazing to report these acts to the university. By alerting us to an incident of hazing, our staff can work to support student organizations and individuals through educational efforts that address and aim to end hazing. To best address a situation, we ask for as much information as possible in a report. By reporting hazing concerns, you are helping VCU create a safer and healthier community.

  • Advisor Update Form

    Please use the Advisor Update Form to notify the Student Organization Team of any changes to your organization's advisor.

    We strongly encourage organizations to add their advisors as officers in their RamsConnect group. This allows them to receive important newsletters, updates, and information from our team.
