Get Ready for Annual Registration!

May 1st - June 1st

Starting May 1st you'll be able to complete the required annual registration form on your group page on RamsConnect. Below is some additional information and keep an eye on the Student Organization Newsletter for further announcements.

The student org team in the Underground is committed to supporting student organizations successfully transition from year to year. The annual registration process allows student organization leaders to review, update, and share important information about their organization with VCU.  If you are looking for information on how to register a new organization, visit the how to start a new organization page.

Annual Registration is required in order to be eligible for access to (1) SGA funding, (2) SOVO Fair participation, and (3) campus space reservations in EMS, and other resources on campus

STUDENT ORG REQUIREMENTS

Review the requirements below to prepare your organization for annual registration.

In order for your organization to remain active with the university, there are several requirements that must be updated each year.

Once your organization meets all the requirements below, *your president for the start of the 2026-2027 academic year * should complete and submit your registration form through your group page on RamsConnect.

1. Advisor requirements

  • In order to complete annual registration, organizations will need an advisor to maintain active status. Organizations may choose to have multiple advisors, but are strongly encouraged to have at least one advisor who is a faculty or staff member at VCU.

2. Leadership or executive board requirements

  • Maintain a president, vice president, and treasurer (included in 8-member minimum) at all times.
  • Ensure that your executive board members are listed as officers in Ramsconnect prior to submitting re-registration.
  • Executive board members should meet the following course load and GPA requirements.
  • Undergraduate officers must maintain a minimum cumulative GPA of 2.5 and enrolled in a minimum of 6 credit hours per semester.
  • Graduate/professional officers must be in good standing with their academic department and enrolled and in a minimum of 3 credit hours per semester.

3. Membership requirements

  • Maintain a minimum of 8 currently enrolled student members
  • Maintain accurate roster of all members, including all officer positions, in Ramsconnect
  • Upload a current copy of organization constitution and mission statement

4. Group Page Requirements

  • Upload a current copy of organization constitution and mission statement
  • Not required but HIGHLY recommended: add/update your logo, membership benefits, and contact information (all in the Settings section of your group page)

5. Student Organization Handbook review requirements

Student organizations must review and adhere to all VCU, Student Commons, and Student Organization guidelines as stated in the Handbook for Student Organizations at VCU.

***Sport Clubs, Student Media organizations, and Graduate and Professional organizations, as well as organizations that fall under the College Panhellenic Council, Interfraternity Council, Unified Greek Council, and National Pan-Hellenic Council, may have additional registration requirements that must be completed through their respective offices to maintain active status.

Campus Safety and the Clery Act

To keep our campus safe and meet federal Clery Act requirements, VCU needs to know and report when student orgs regularly hold official activities at off-campus locations. During annual registration if you regularly use off-campus locations you'll report the names and addresses of these locations, as well as the frequency of the activities. You should submit information for locations your org regularly uses, controls, leases or owns (see definitions below).

Definitions and Terms

Regular Use:

You use the space often for meetings or events, but don't have a formal agreement or exclusive access. For example: meeting at a local park or cafe every week.

Control:

Your organization has a long-term or recurring arrangement to use the space for meetings/events, even without legal ownership or lease. For example: exclusive use of a church basement every Thursday, or a recurring contract with a community center.

Own*:

Your organization holds legal ownership of the property/building.

Lease*:

Your organization has a formal rental or lease agreement giving you rights to use the property/building.

*Most organizations do NOT own or lease space under the name of their organization.

Submitting registration through Ramsconnect

Organization presidents must register or register through RamsConnect for the upcoming academic year beginning May 1st. Here are the steps:

  • Log into Ramsconnect.vcu.edu
  • Using the search bar in RamsConnect, find your organization under "My Group". You might have to scroll down to find the organization. If your organization does not appear under "My Groups", then you do not have access. Check with the previous president and ask them to update the officer list in RamsConnect.
  • If your organization does not appear under "My Groups", then you do not have access. Check with the previous president and ask them to update the officer list in RamsConnect.
  • Once you have access, make updates to the mission and constitution, your membership and officers. Also highly recommend adding or updating your logo, membership benefits, and contact information.
  • Your 2026-2027 organization president can access registration directly through your RamsConnect page beginning on May 1, 2026. Once your executive board roster is updated in RamsConnect, your organization president will see a blue registration box where they can complete the re-registration process.
  • Update or enter the names of the treasurer and vice president, both of which are required. You can search by first name, last name, and email. If the name of the vice president or treasurer does not appear, then the individual has likely not created a RamsConnect account by logging in. The president should contact the individual and request that they log-in to RamsConnect. Once this is complete, the president can update the officer positions.
  • Once completed and approved, the registration box on your organization's page will disappear.
